Regional accounts
A regional account lets an office above several PSMS offices (for example a regional office over its irrigation management offices) follow their contracts in one place. It is view only: it can look at the offices' data but never change it.
How offices share their data
- The PSMS administrator sets up the regional account and lists the offices it covers.
- Each of those offices is asked, not added. Its Account Holders and the office email get an email about the request, and Account Holders also see it on their dashboard and under Office → Settings → Regional access.
- An Account Holder clicks Approve to share the office's data, or Decline.
- The office can Remove access at any time, also under Settings. The regional account loses access at once.
Nothing is shared until the office approves. Each time the regional account opens the office, it shows in the office's activity log.
A regional account has its own subscription, separate from the offices'. Contact the PSMS administrator to set one up.
The regional overview
Users of a regional account sign in as usual and land on the Regional overview:
- Totals for the year across all the offices that approved: overall accomplishment and target (weighted by contract amount), number and amount of contracts, overall slippage, and how many contracts are behind schedule.
- Offices: one row per office with its contracts, amount, accomplishment, slippage, and the number behind schedule and past expiry.
- Overall S-curve of all the offices' contracts together.
- Furthest behind: the contracts with the worst slippage across the offices. Click one to open it.
- Excel downloads every office's contracts for the year in one sheet, with an Office column.
- Offices that haven't approved, or have declined or removed access, are listed under Not shared with you.
Choose the year at the top right. The figures follow the same rules as each office's own reports and calculations.
Looking inside an office
Click Open on an office to see its dashboard, contracts, map, projects and reports exactly as its own Viewers do. A banner shows which office you're viewing; Back to the regional overview returns to the overview.
View only means:
- No add, edit or delete buttons, and PSMS refuses any change even if one is attempted.
- The office's users, activity log and settings stay private to the office.
- You can read the forum but not post.
If an office's own subscription is inactive, it stays in the list but can't be opened.
Managing the regional account's users
The PSMS administrator sets up the first user. Users marked Manages users then look after the rest under Users in the sidebar:
- Add user: username, name, email, position and a first password. New users can view the same offices as everyone else in the regional account.
- Click the pencil to change someone's details, set a new password, give or take away Manages users, or deactivate them (untick Active) when they leave. Deactivated users can't sign in.
- You can't deactivate yourself or remove your own Manages users; another manager has to.
- Regional users can sign in with an email link or reset a forgotten password, like office users, if their email is filled in.
